5. MODULE 5: Managing Complexity with Multiple Maps
This module explores how TPAssist works with multiple layered maps.
It is rare that a project operates in isolation and it is also unrealistic to expect you to be able to capture all your activities into one map.  TPAssist supports the ability to structure your activities into multiple maps.  And more importantly, TPAssist managed roll-up of priority, percent complete, flags, start- date and due-date across these maps so you can quickly and easily appraise the status of your projects and activities.
After completing this module, you be able to build a layered series of linked maps to manage the complexities of your daily activities.
STEP 1: Link a task with-in the same map
The first capability we will explore is the ability to extract task status details from other areas of your map.  This is useful if an activity is shared between one or more task groups.
1) In your My Summer Holiday map, add a new item and label the topic "Book Airport taxi".  (HINT: To add this topic, select "Planning" and press the INSERT key on your keyboard and then type "Book airport taxi".)
graphic
2) Now right-click on this new topic and choose "TPAssist Journal".
3) In the Journal tab, click 100% and then click OK.
graphic
4) Now scroll down to the "Getting on the plane" sub main topic and select the "Book the airport taxi" topic.
5) From the toolbar, choose the Hyperlink tool ( graphic) (TIP: In MindManager 7, the Hyperlink tool is on the Home Ribbon Tab).
6) In the select link dialogue, choose "Topic in this Map" from the choices on the left and then expand the tree on the right and choose "Book airport taxi" under planning.  Click OK to create the link.
graphic
The "Book the airport taxi" topic should now have an hyperlink icon.  NB: Clicking the icon will change the focus to the linked topic.
graphic
Now let's manually update the tree and see the results.
7) Right-click on the central topic and choose "TPAssist Tree Update".
Observe how the linked topic now inherits the task details of the target topic.
graphic
Not only does the linked topic inherit the details of the linked topic, but the complete status now applies to the percentage complete of the "Getting on the Plane" main sub topic.
STEP 2: Link a task to another map
We will now extend the task linking to make use of a topic in another map.
1) Create a new TPAssist Document, ( i.e. From the File menu, choose New, then choose New TPAssist Document.)
2) Rename your new Mind Map central topic (i.e. call it "Team Hand-  over activities").
3) Rename "Objective 1" to "Operations", rename "Action Group 1" to "Orders" and "Action Group 2" to "Invoices".
graphic
4) Convert the topic tree (i.e. Right-click the central topic, choose "TPAssist Topic", then choose "Convert to Task Tree").
5) Save this map, to the same location you saved the "My Summer Holiday" map.
6) Now change back to the "My Summer Holiday" (use the Window menu or select it from the Workbook tabs across the bottom of the MindManager window).
7) Now scroll down to the "The Office" sub main topic and select the "Hand- over work activities to team members" topic.
8) From the toolbar, choose the Hyperlink tool ( graphic)
9) In the select link dialogue, choose "Existing File or Web Page", then use the OPEN icon to find your other map (NB: You may need to change the "Files of Type" at the bottom of this dialogue to see your maps). Click OK to create the link.
graphic
You will now notice the topic has a MindManager linkage icon.
graphic
10) Click on the icon to drop into the linked map.
11) In the "Team Hand-over activities" map, right-click "Orders", choose "TPAssist Journal", in the Status Text, enter "Must talk with Kim", change the "Status" to "Active" and change the Complete % to 25.  Click Ok.
graphic
12) Now return to the "My Summer Holiday" map, right click on "Hand-over work activities to team members" and choose "TPAssist Tree Update".
At this point, TPAssist will drop into the sub map and extract the central topic task details and copy them up to the parent map.
graphic
If you were observant, you will also notice that TPAssist closed the sub map.  This is because the sub map was up- to- date and therefore didn't need saving.  You can visit the map easily again by following the MindManager icon on the "Hand- over work activities to team members" topic.
This method for updating sub maps is only effective if you have a small number of linked topics.  If you have a larger number, it would be too time consuming to Right-click on each topic in this way.  To accommodate this, TPAssist provides a facility called "Master Mode Tree Update".  This function performs an update of all maps and sub maps.
Let's explore "Master Mode Tree Update".
14) Click on the link icon (graphic) to drop into the linked map.
15) In the "Team Hand-over activities" map, right-click "Orders", choose "100%".  Click Ok.
16) Return to "My Summer Holiday" and choose the central topic.
17) In the export toolbar at the bottom of the window, choose the TPAssist icon, then choose the "Tree Update" tab.
18) Now choose "All" in the scope, and click "Master Mode", then click OK.
graphic
You should now observe,TPAssist not only updating the current map, but also opening up the sub map and copying the updated complete percent up to the  "Hand-over work activities to team members" topic and its parents.
graphic
STEP 3: Create Master Map & Linked sub-map
Steps 1 and 2 explored linking individual topics to other topics; in the same map and also in other maps.  This is sufficient for tracking interdependency between groups of activities.  It is however, insufficient for tracking journal activities undertaken with- in your multi- map structure.  For example, the task detail roll-up will tell you priority, dates etc, but in the parent maps you'll have limited visibility of actions taken towards completing your tasks, because up until now we have only explored localised use of the Journal capability.
The powerful journal capture capability of TPAssist can be extended into multi- maps.  This is achieved by linking the Central Topic of sub maps to the parent maps, therefore allowing TPAssist to know where to add further journal entries.  This multi-map journal feature has two modes:
A. Simple sub-map linkage
B. Tree Structure enabled sub-map linkage
We will now explore the capabilities of each of these modes.
1) Return to the "My Summer Holiday" map, under "The Office" sub topic, find the "Hand-over work activities to team members" topic.
2) Click on the link icon (graphic) and drop into the linked map.
Before we create the map links, let's add a journal entry.
3) Right Click on "Invoices" topic and choose "TPAssist Journal".
4) Choose "TASK" and enter "Prepared list of invoices due next month".  IN ADDITION, change the Flag to RED.  Then click OK.
graphic
Notice now how the Journal tree has an entry for today.
graphic
If you were to return the "My Summer Holiday" at this point you'd notice no changes.
graphic
Let's now create the link to the parent map.
5) Back in "Team Hand-Over activities" map, select the Central Topic.
8) From the toolbar, choose the Hyperlink tool ( graphic)
9) In the select link dialogue, choose "Existing File or Web Page", then use the OPEN icon to find your "My Summer Holiday" map (NB: You may need to change the "Files of Type" at the bottom of this dialogue to see your maps). Click OK to create the link.
graphic
This should create a hyperlink to your parent map.
Now we will create another journal entry on our invoices and hopeful see the parent map's journal updated.
10) Right Click on "Invoices" topic and choose "TPAssist Journal".
11) Choose "MEETING" and enter "Met with Kim and discussed invoices due next month", ALSO in the Status Text enter "Must e- mail list to Kim".  Click Ok.
graphic
Now, lets swap back to "My Summer Holiday" and review the Journal.
12) Switch to "My Summer Holiday" map, expand the Journal sub-topic, find the year, month and date applicable to day and hover your mouse over the Notes icon.
graphic
You will notice that a journal entry has been added to the notes.  The journal entry has the sub-map's central topic ('Team Hand-over activities'), the sub-topic name ('Operations') and the topic ('Invoices').  This indicates that today an activity took place on the 'Invoices' topic of your hand-over activities map.
This process has just demonstrated the "Simple sub-map linkage" journal linkage mode.
In the next few steps we will explore how you can expand the capability to give your multi- maps context.  This is known as the "Tree Structure enabled sub- map linkage" mode.
Let's start by reviewing the "Hand-Over work to team members" activity.  This topic is linked it to the sub map. Remember how in the step 4 above, we changed the sub map and put a red flag the "Invoices" topic.  Let's manually refresh the status.
graphic
13) In "My Summer Holiday" and choose the central topic, in the export toolbar at the bottom of the window, choose the TPAssist icon, then choose the "Tree Update" tab, Now choose "All" in the scope, and click "Master Mode", then click OK.
The "Hand-over work activities to team members" topic and parent topics should now have a red flags.
graphic
14) Now drop back into the "Team Hand-Over activities" sub map, by clicking on the link icon (graphic) on the "Hand- over work activities to team members" topic.
15) In the "Team Hand-Over activities" map, select the Central Topic.
16) From the toolbar, choose the Hyperlink tool ( graphic)
17) How choose the "Select Topic..." button.
graphic
18) Now expand the tree viewer and select "Hand-over work activities to team members", then click OK.
graphic
You have now linked the sub-map to a sub-topic with-in your parent map.
Our next task is to create a journal entry against one of the topics in this map so we can see how the journal feature operates in "Tree Structure enabled sub- map linkage" mode.
19) Right Click on "Invoices" topic and choose "TPAssist Journal".
20) Choose "E-MAIL" and enter "Sent invoice list to Kim".  IN ADDITION, change the Flag to GREEN. Then click OK.
graphic
Now let's explore the parent map.
21) Switch to "My Summer Holiday" map, expand the Journal sub-topic, find the year, month and date applicable to day and hover your mouse over the Notes icon.
graphic
You will notice that a journal entry has been added to the notes.  The journal entry has the parent map's context ("The Office"), then the activity with-in the parent context ("Hand-over work ac...") and finally, the details with-in the sub map, i.e.. the sub-topic name ('Operations') and the topic ('Invoices').
In addition to updating master journal's with full context, the "Tree Structure enabled sub- map linkage" mode also updates the topic notes for all parent topics as illustrated here for "Hand-Over work activities to team members" and "The Office" subtopic.
graphic
graphic
The final aspect to the "Tree Structure enabled sub-map linkage" mode is the automatic update of task status. Remember how in the "Simple sub-map linkage" mode we had to manually perform a "Master Mode" tree update in order to get the Red Flag from the sub- map.
With "Tree Structure enabled sub- map linkage" mode the Green Flag has automatically been transferred and updated up the tree.
